• Assist with all aspects of general office coordination
  • Responsible for client check-in/check-out
  • Process in-take paperwork including verification of insurance and benefits
  • Collect deductibles, co-payments at time of service
  • Correspond with insurance companies regarding medical billing, claims, remits, and recoupments
  • Create schedules and assist with practice management on an electronic system (AccuPoint)
  • Coordinate work flow and meetings, as necessary and requested
  • Maintain confidentiality in all aspects of staff and company information
  • Interact with visitors and clients in a courteous and professional manner
  • Answer telephone; direct calls as necessary, following through when appropriate
  • Open, sort, distribute incoming correspondence/mail - including faxes
  • Deliver mail to the local post office as required/requested
  • Perform routine clerical duties to include, but not limited to, copying, faxing mailing, filing, maintaining office supply inventory, office purchasing as required/requested
  • Supervise maintenance and monthly reporting of office equipment
  • Handle all day-to-day Facility needs
  • Assist with managing and coordinating company events
  • Prepare Expense Reports for the Director
  • Make Travel arrangements as necessary
  • Assist Director as needed


  • Associate's degree with 7+ years of experience in medical office management or equivalent field, or a Bachelor's degree with 5+ years of experience in medical office management or equivalent field
  • Excellent writing, analytical and problem-solving skills
  • Excellent knowledge of principles and practices of organization, planning, records management and general office administration
